Privacy Policy
Last updated: 19 September 2026
This notice explains how Relocation Ready handles personal information when you visit our website, contact us, request a free relocation pack or use our relocation support.
Who to contact
Relocation Ready is the relocation support service founded by Mathew Vines. Mathew is your contact for privacy questions and requests. Email hello@relocationready.co.uk or use our contact page.
Information we use
We collect the details you give us, such as your name, email address, country you are moving from, messages, relocation plans and preferences. If you become a client, this may include agreed service details, correspondence and payment records. Please only share information relevant to your enquiry; do not send passports, bank details or sensitive family or health information through the public contact form.
Our website and hosting providers also process technical information needed to deliver and protect the website. If you accept analytics, Google Analytics processes information about visits, devices, approximate location and page use. See our Cookie Policy.
Why we use it
- Enquiries and requested support: to reply, arrange calls, send a requested pack and take steps towards, or deliver, an agreed service. The lawful basis is taking steps at your request before a contract or performing that contract. General correspondence is handled under our legitimate interest in answering enquiries.
- Administration and security: our legitimate interests in running, protecting and improving the business, managing records and resolving concerns, balanced against your rights.
- Legal obligations: to keep records or disclose information where the law requires it.
- Email updates and optional analytics: your consent. Contacting us or asking for a pack does not automatically subscribe you to marketing.
You choose what to share, but without sufficient contact details or information about your request we may be unable to reply or provide the support you want.
Email updates
If you sign up for relocation updates, we use your email address to send them. You can withdraw consent at any time by using the unsubscribe option in an email or emailing us. Withdrawing consent does not affect the lawfulness of earlier processing.
Who receives information
Information is processed by providers that help deliver the service, including Webflow for website hosting and forms, our business email and communications providers, and Google Analytics where you accept analytics. Where relevant to work you request, information may be shared with a property agent, school or other service provider after discussing the arrangements with you. We may also disclose information to professional advisers or authorities where necessary for legal obligations or claims. We do not sell your personal information.
Processing outside the UK
Some technology providers, including Webflow and Google, operate internationally and may process information outside the UK. Transfers must be supported by an applicable UK adequacy regulation or appropriate safeguards, such as approved contractual protections. Contact us for information about the providers and safeguards relevant to your request.
How long information is kept
We keep information only for as long as needed for its purpose. We consider whether an enquiry is still active, the duration of a client relationship, applicable tax and accounting requirements, and the need to resolve complaints or legal claims. Marketing details are retained until you unsubscribe or they are no longer needed; a minimal suppression record may be kept to respect your preference. Cookie and device-storage durations are explained in the Cookie Policy.
Your rights
Depending on the circumstances, you can ask to access, correct, erase, restrict or transfer your personal information. You can object to processing based on legitimate interests and to direct marketing. You can withdraw consent to marketing or analytics at any time. These rights are subject to legal conditions. Email us to exercise them; we may need to verify your identity and will respond within the applicable legal time limit.
If you are unhappy with how we handle information, please contact Mathew first so we can investigate. You can also complain to the Information Commissioner’s Office, the UK data protection regulator.
Updates
We review this notice as the service develops and show the revision date above. Read our Terms of Service for information about using the website and arranging support.
